WASHINGTON STATE
ONLINE NOTARIZATION

Get your documents notarized from anywhere  - fast, secure, and even more convenient!

What is an Online Notarization?

Remote Online Notarization, or RON, is a legally authorized way to get a document notarized over a live video call. You meet with a Washington-commissioned notary in real time, verify your identity through the platform, sign electronically, and receive your notarized document by email the moment we finish.

Who is this Service For

Anyone who needs a document notarized but can't or doesn't want to meet in person, for documents intended for use in the United States.

Common documents we notarize online include:

  • Real Estate Documents

  • Legal Documents

  • Financial Documents

  • Healthcare & Estate Planning

And many other documents that require a

Washington notary's seal.

For documents intended for use outside the United States, you'll need an Apostille — see our Washington Apostille Services.

Before You Book — Please Confirm Three Things

  1. The party receiving your document accepts Remote Online Notarization.
Banks, courts, government agencies, and other countries vary on this. Check with the receiving party before scheduling — it protects you from getting a notarized document they won't accept.

  2. You have an accepted form of photo ID.
Acceptable: US driver's license or state ID, US passport or passport card, permanent resident card, work permit, or foreign passport with a machine-readable zone. Full requirements in "What You'll Need" below.

  3. Your document is for use in the United States.
Documents going to another country require Apostille service instead.

Coding On Computer
  1. Tell us about your document
Use our online form to upload your PDF, share your signer details, and confirm your ID and document meet the requirements. We review everything before your appointment.

  2. Choose your time and pay your $90 consult fee
Pick from available appointments 7 days a week, 7 AM to 8:30 PM Pacific. Payment is collected through our scheduling system to confirm your booking.

  3. Receive your confirmation and prep instructions
We email you the meeting link, identity verification details, and a checklist of what to have ready.

  4. Verify your identity online
Just before your meeting, you'll complete the platform's identity verification: answer a short identity quiz and capture a photo of your ID through the system.

  5. Meet over live video and sign
You meet your Washington-commissioned notary on camera to walk through and sign your document. The $10 per-notarization fee is charged through the platform at this stage. The appointment often takes less than 10 minutes.

  6. Get your notarized document
Your signed and notarized PDF is emailed to you as soon as you make the final payment. Fast and simple.

How It Works

How Much It Costs

Online Notarization is billed in two parts so you only pay for what you need. Most appointments total around $100 for a single-notarization document.

What's Included in the Consult Fee

  • Document review before your appointment

  • Live, one-on-one video session with a Washington-commissioned notary

  • Tamper-sealed digital certificate on your notarized document

  • Document delivered by email immediately after the session

  • Secure storage of your document for your records

What You'll Need

Online notarization has specific platform requirements.
Please confirm you have all of the following before booking.

If anything is unclear, call 206-852-7037 before scheduling —
it's easier to sort it out before we collect payment than after.

1. A Valid Photo ID

Accepted:

  • US Driver's License or State ID

  • US Passport or Passport Card

  • Permanent Resident Card

  • Work Permit

  • Foreign Passport with a Machine Readable Zone

Not Accepted:

  • Military IDs (including dependent IDs)

  • Inmate or Prisoner IDs

  • Digital IDs stored in Apple Wallet, Google Wallet, or other apps

  • Photocopies, scans, or photos of your ID — your original must be physically present at the appointment

  • Expired IDs

2. Identity Verification Information

The notarization platform verifies your identity through a short personal-history quiz. To complete it, you'll need:

  • A US Social Security Number (SSN) or Individual Taxpayer Identification Number (ITIN)

  • A US address (current or recent)

  • Generally, at least 6 months of US-based history — the platform uses credit records, prior addresses, and similar public records to generate quiz questions

3. Your Document

  • A PDF of your document, ready to upload through our online form

  • The document is already filled in where you can complete it yourself — we'll format it for the online platform, but we don't handle drafting, legal review, or content changes

  • Names of all signers, exactly as they appear on their photo IDs

  • The document is intended for use within the United States

4. Equipment and Environment

  • A computer, tablet, or smartphone with a working camera and microphone

  • A reliable internet connection

  • A quiet, well-lit space where you can show your ID clearly to the camera

  • Your original photo ID physically with you during the appointment

Have Questions First?

Feel free to call, we'd rather work through questions before you book than during your appointment. We're here to make this process as easy as possible.

Refund Policy

Standard cancellations — Fully refundable if you let us know at least 2 hours before your appointment time. We don't ask why. Inside 2 hours and no-shows are non-refundable.

If identity verification fails at your appointment — The notarization platform verifies your identity through a short personal-history quiz before the session begins. In rare cases — usually limited US credit history, recent name changes, or recent address changes — the system can't generate the required questions and the notarization cannot proceed. If this happens, your $90 consult fee is held as a credit toward a future appointment within 6 months. The credit can be applied to another Remote Online Notarization, a mobile notary appointment, or our apostille service. We'll work with you to find a path that does work.
